Track the progress of the conversation
In the Liaise Manager click on a ‘subject’ and the ‘conversation’ will be displayed on the right panel of the Liaise Manager.
The Conversation shows a digest of all the messages you have sent and received in relation to that 'subject'.
Clicking on any of the messages will expand to show the entire contents of that message.



Follow-Up
Hover the mouse over a message, a toolbar is presented with options for following up via Reply, Reply All, Forward or Remind.



Update Initiatives and Conversations
Select the next to an Initiative or Conversation to update all the KeyPoints within it.

Generate a 'Report'
Click the 'Print' button at the top of the Liaise Manager to generate a Follow-Up report based on the current information displayed in the Liaise Manager.

What do other people see when I send them a Liaise message?

By default when you send a Liase message the body of the message will include an annotation calling out each KeyPoint in the message.

If you prefer not to make the captured KeyPoints visible in the message body you can change the default send behavior for Liaise as follows:

To turn off KeyPoint summaries for people you send Liaise messages to select the menu from the Liaise Bar, then select “Configure Liaise”

Under the heading “Send Behavior” you can set your preferences, simply un-tick (or tick) the boxes for KeyPoints to be visible in body and Initiative in subject line.

Liaise recipients will receive the message with your KeyPoints and all their attributes captured as you intended

Liaise messages can also be read by mobile devices with e-mail

 
Can I convert a standard email into a Liaise message?

Standard emails can be converted to Liaise messages quickly and easily.

Open the standard email then select the Liaise menu as follows:

I have multiple e-mail accounts in Outlook, can I use Liaise with all of them?
  • Liaise will be able to process incoming messages from any account in outlook
  • At this stage you will only be able to send Liaise messages from the Default account
 

Default New Messages to Liaise


By setting your option to Default New Messages to Liaise, you won't need to use any specific Liaise buttons, just standard New, Reply, Fwd and your messages will be created with Liaise functionality.

Create a Liaise Message


If you have set your option to 'Default New Messages to Liaise

Click the 'New' button on your toolbar (just like you've always done to create a new Message)

Click the ‘Liaise Message’ button in your toolbar

Convert a regular e-mail into a Liaise Message
Click the ‘Liaise’ button appearing in the toolbar of regular e-mail. Select from the drop down option.

 

Edit a Liaise KeyPoint


Automatic KeyPoint



As you type your e-mail, Liaise creates KeyPoints for the Actions or Issues in your message. The KeyPoints are summaries identifying who the Action or Issue is for, when it's due and the level of priority. The following is an example:

Create a KeyPoint
If Liaise does not automatically create a KeyPoint, you can create a KeyPoint by clicking on the symbol appearing next to the paragraph.



Edit a KeyPoint
Using your keyboard: ‘arrow down’ or ‘arrow up’ to move to the relevant KeyPoint.
Use the ‘Tab’ key to move through the KeyPoint fields. At the end of your edit, hit the ‘Enter’ key.
Using your mouse: Click on the relevant field. At the end of your edit click anywhere outside of the KeyPoint fields.



Remove a KeyPoint
Click on any of the KeyPoint fields and select the symbol at the end of the KeyPoint.

 

View or Update Liaise KeyPoint


View Responses to your Liaise Messages
To help quickly identify what needs to be managed in a given e-mail conversation, incoming responses to Liaise messages display a catalog of the KeyPoints from the original message in a panel on the left.




Update KeyPoints
KeyPoints appearing in the catalog can be updated at any time. Updating the KeyPoint will NOT change the text of the original message. To update the KeyPoint click on the relevant field or click on the symbol at the top left of the KeyPoint.

To launch the Liaise Manager, select 'Manager' from your toolbar

To filter for specific people or initiatives, select them from the 'Available Filters' section. You can select multiple filters by using Ctrl+ Mouse click
